Legal AssistantDowntown Jacksonville, Florida law firm seeks an enthusiastic, self-motivated full-time Legal Assistant. This is an in-office position.Primary Duties And Responsibilities:
- Manages calendar of attorney and coordinates conference calls/depositions/mediations, etc.
- Opens new matters in internal software.
- Provides follow up with clients to ensure all claim materials have been received.
- Knows client procedures and ensures compliance by the firm in general communications with clients as necessary.
- Answers/directs phone calls.
- Reviews all outgoing correspondence from attorney for grammar and layout consistency.
- Tracks deadlines and document completion, and prompts attorney, associates or paralegals as necessary.
- Assists attorney with preparing draft pleadings and discovery.
- Files documents as directed by attorney through the Florida E-Filing Portal, United States District Courts and other courts as necessary.
- Drafts cover letters and other correspondence as directed.
- Handles all outgoing mail needs of attorney.
- Ensures both interoffice and external communication is appropriately documented in system software.
- Provides copies of all pleadings and correspondence to clients.
- Operates basic office support functions, such as scanning, printing, faxing, etc.
- Performs other duties as necessary.
- Must be proficient in Microsoft Word, Excel and Outlook.
- Strong organization and communication skills.
- Meticulous attention to detail.
- Dependable with a respect to confidentiality and policies.
- Typing skills.
